The line item that disappears: the licence

Let's start with the good news, because it changes the order of magnitude. Odoo Community is open source. No licence fees, no per-user cost, no annual renegotiation. On a typical project, this is the heaviest line item with proprietary vendors — and it drops out of the equation. The budget goes into configuration, that is, into the work that adapts the tool to your business.

The three variables that drive the price

The number of modules activated. Opening accounting and inventory has nothing to do with deploying all nine modules at once. Our recommendation is in fact not to start everything at the same time: we open on the critical scope and extend at the pace of the teams' maturity.

The volume and quality of the data to migrate. This is the most underestimated variable. Migrating a clean item file is quick; migrating three divergent spreadsheets, duplicate customer records and stock history that has never been counted is a project in itself.

The level of training required. A team already used to a management tool is trained in a few sessions. An organisation moving from paper to an integrated ERP needs far more change support — and it is that support which decides whether the project succeeds or stalls.
